We are currently seeking a professional, detail-oriented Virtual Dental Receptionist to support a fast-paced dental practice.

This role is ideal for someone with strong patient service skills and experience in healthcare or dental administration. You will act as the first point of contact for patients, ensuring a seamless and positive experience while supporting daily front-desk operations remotely.

This is a structured support role requiring organisation, accuracy, and the ability to manage high volumes of patient interactions in a professional manner.

PLEASE NOTE:

  • Working Hours: Monday – Friday | 9:00 am – 6:00 pm EST (15:00pm – 00:00 am South African Time, depending on U.S. daylight savings)
  • Public Holidays: You will be required to work on both South African and U.S. public holidays. Compensation for South African public holidays will be provided in accordance with the BCEA.
  • Internet Requirements: Fixed fibre line with a minimum speed of 25 Mbps (upload & download) and wired Ethernet capability is mandatory. Candidates without fixed fibre cannot be considered.
  • Power Backup: Reliable backup power is required to manage load shedding or outages. Candidates without backup cannot be considered.
  • Work Environment: Fully remote.

Key Responsibilities:

  • Answer incoming calls and assist patients with appointments and general support
  • Schedule, reschedule, and confirm appointments using the practice management system
  • Manage patient emails and online inquiries
  • Verify insurance details and assist with billing queries
  • Send appointment reminders via phone, SMS, or email
  • Maintain accurate and up-to-date patient records
  • Provide information on services, procedures, and policies
  • Ensure strict adherence to HIPAA and data protection standards
  • Liaise with dental staff to coordinate patient care
  • Maintain a professional, empathetic approach in all interactions

Requirements:

  • Proven experience in a receptionist, customer service, or administrative role within healthcare or dental settings (essential)
  • Familiarity with dental terminology and insurance processes
  • Experience with EHR systems and scheduling software
  • Strong written and verbal communication skills
  • Ability to work independently in a fast-paced environment
  • High attention to detail and strong organisational skills
  • Knowledge of HIPAA regulations and patient confidentiality standards (advantageous)
  • Tech-savvy with virtual communication tools (e.g., Zoom, Microsoft Teams)
  • Compassionate, patient-centered approach
